A Reseller's Daily Workflow

A routine that protects buying time, shipping deadlines and your evenings.

By reva editorial teamUpdated 8 min read
An example reseller's day split into buying, listing, shipping and bookkeeping blocks, each labelled manual, assisted or automatable
Key takeaways
  • Plan the day around outside clocks: Vinted cancels orders not shipped within 5 business days, and OLX refunds the buyer if you don't confirm within 72 hours or hand over the parcel within 3 working days of accepting (checked 13 Sept 2026).
  • Confirm OLX orders every day and ship at least every second working day; that one rule keeps you inside both marketplaces' shipping deadlines.
  • Set your alert check times from a two-week log of your own rule-matching finds, because no marketplace publishes when listings appear or how fast they go.
  • Label each block: messages, packing and payment stay manual; alerts and listing drafts are assisted; spreadsheet maths is automatable.
  • Weekly capacity = hours available ÷ hours per item from your own log. Buy beyond it and the extra becomes unlisted stock.

A reseller daily routine works when it is built around the clocks you don't control: how quickly a well-priced listing disappears, each marketplace's shipping deadline, and the windows for confirming orders and answering claims. Put buying checks where your own log shows finds, put shipping before your drop-off point's last collection, and batch photos, listings and bookkeeping in the gaps.

Below, each block gets a place in the day and a label: manual, assisted or automatable. Deadlines come from Vinted and OLX pages checked on 13 September 2026; times and counts are examples.

The reseller daily routine in four jobs

Job Who sets the timing Label today
Buy Other buyers: a listing below its market can go at any moment Assisted alerts; manual decision and payment
List Nobody, which is why it slips Manual photos; assisted drafts
Ship The marketplace: late orders are cancelled or refunded Manual
Account You Manual entry; automatable formulas

Manual means you do it. Assisted means software alerts or prepares and you confirm. Automatable means it runs without you and outside any marketplace account, like a spreadsheet formula; a bot acting in your account doesn't count.

Decision rule: schedule the jobs with outside deadlines first (ship, then buy), then fit list and account into what is left.

Example day for a full-time reseller, labelled
  1. 07:30

Alert check and buying decisions (assisted alerts, manual payment)

  2. 08:30

Confirm OLX orders, answer messages and offers (manual)

  3. 09:30

Photograph and measure yesterday's buys (manual)

  4. 11:00

Write listings (assisted if a tool prepares drafts you publish)

  5. 13:00

Delist crosslisted sold items, pack (manual)

  6. Before last collection

Shipping run and returned parcels (manual)

  7. 17:00

Second alert check and messages (assisted alerts, manual replies)

  8. End of day

Log buys, sales, payouts and minutes (manual entry, automatable formulas)

Illustrative example, not a recommended timetable. Set your times from your own finds log and your drop-off point's collection time.

Alert slots and buying decisions

No marketplace in our research publishes when new listings are added or how fast underpriced ones go. Vinted's "Our platform" page (§8) says how long ago an item was uploaded is one of its ranking attributes, next to price and brand, but not how much weight it carries. So ask when finds that pass your rules appear:

  • For two weeks, note the time and weekday of every find that passed your buying rules
  • When one disappears before you act, note roughly when
  • Put your check slots at the hours with the most finds you could actually buy
  • Repeat the log when you change category or marketplace

Example: if your log shows most finds between 19:00 and 21:00 on weekdays, and you can check at 07:30 or 20:00, keep the evening slot.

A slot stays short when the maximum price, minimum profit, sizes and condition are fixed in advance: how to set buying rules has templates. New listing alerts on Vinted, OLX and Allegro Lokalnie covers saved searches and what each marketplace's terms say about monitors. Vinted's Terms bar "any kind of external software tools (including but not limited to: bots, scraping programs, crawling programs, spiders)" unless Vinted authorises them, so read that clause before relying on a tool.

Batching photos and listings

Listing has no outside clock, so it is the first block to be skipped. Batch by stage, not by item, so light and background are set up once.

  • Photograph all of yesterday's buys in one block, same spot and light
  • Measure and note flaws while photographing, not when a buyer asks
  • Write listings in a separate block
  • Use your own photos: Vinted's Catalogue Rules forbid stock photos, photos from ads and watermarked images
  • On OLX, in free and limited categories, ending and re-adding the same item within 14 days counts as a duplicate

Decision rule: if items bought this week exceed items listed, give the next buying slot to listing. When listing time is what caps your volume, the bottleneck view of scaling shows what to change.

Shipping blocks around carrier cut-offs

Marketplace Clock If you miss it
Vinted (UK and Polish help pages) Ship within 5 business days Order cancelled automatically; you can ask the buyer for 3 or 5 extra business days, and they may refuse
OLX (Terms §11.8) Confirm within 72 hours of the order; hand the parcel to the carrier within 3 working days of accepting Buyer refunded automatically
Allegro Lokalnie Not captured in our research Check Allegro's help pages first

Two rules follow:

  • Confirm OLX orders in the first block of each day.
  • Ship at least every second working day. An OLX order accepted on day 0 then leaves by day 2, inside 3 working days, and Vinted's 5 business days are covered too.

Collection times differ by locker and post office, so check the one you use and end packing before it. Returned parcels have clocks as well: OLX's Pakiet Ochronny help pages give 48 hours at InPost, 72 hours at Orlen Paczka and 7 days at Poczta Polska to collect.

If you crosslist, delist a sold item everywhere else before you pack it; how to avoid double sales covers the routines. All deadlines side by side: shipping deadlines and rules on Vinted, OLX and Allegro Lokalnie.

Messages and offers

The Vinted and OLX pages in our research set no deadline for replying to a buyer's message. The clocks sit around orders and claims:

  • OLX: 72 hours to confirm an order, and 120 hours to respond to a Pakiet Ochronny claim (Annex 8).
  • Vinted (UK help pages): the buyer has 2 days from Vinted's delivery notice to report a problem, so check messages daily while an order is in that window.

Write the lowest price you'll accept next to each item when you list it. Every offer is then a yes or no you can clear in fixed slots.

Keep this job manual. Vinted's Terms bar "unsolicited or mass messages that are sent to 5 or more Users". Updated Terms take effect on 5 October 2026 in Germany and France and 8 October 2026 in the UK and Poland; press coverage reports no change to the automation rules in the UK, US and Australia update, but reread the clauses after those dates.

A short bookkeeping block at the end of the day

The inventory and profit tracker spreadsheet has one row per item. The daily block fills only what changed:

  • New buys: buy date, buy price, extra costs
  • Sales: sale date, sale price, marketplace fee, shipping you paid
  • Payouts: the date money arrives, not the sale date
  • Minutes spent in each block today
net payout = sale price − marketplace fee − shipping you paid profit = net payout − buy price − extra costs ROI = profit ÷ (buy price + extra costs)

Time the block for a week instead of aiming for a number. If it keeps growing, you are catching up on skipped days.

Which blocks to automate first

Rank blocks by weekly hours from your log, then by where the work happens:

  1. Outside the marketplace first: spreadsheet formulas and description templates act in no account.
  2. Assisted steps next, where you confirm: alerts, drafts you publish, checkout that stops before payment. Check each marketplace's terms first.
  3. Keep manual anything acting in an account without your check: auto-messages, bulk relisting (Vinted's Terms bar deleting and re-listing "multiple Items in bulk") and unreviewed buying.

Example: 5 hours a week on listings, 1 on bookkeeping. Formulas take the bookkeeping maths at no risk; a draft tool is the next candidate, but you still check and publish each listing.

The pillar, reseller automation: what to automate and what to keep manual, goes through the clauses task by task.

Part-time vs full-time versions

Block Part-time example Full-time example
Alert checks One weekday slot at your logged peak Two or three slots at your logged peaks
OLX confirmations and messages Once a day, every day Start and end of each working day
Photos and listings One weekend batch Daily batch
Shipping Every second working day Daily run

Both columns are examples, not recommended hours. Set your own capacity:

items per week = hours available per week ÷ hours per item (buy to shipped, from your log)

Example: 8 hours ÷ 1.5 hours per item ≈ 5 items a week. Buy 8 and the other 3 become unlisted stock.

Decision rule: if you can't reach a drop-off point every second working day, buy fewer items rather than risk cancellations and refunds. Still testing whether reselling fits your week? Starting with a small budget keeps stock and schedule small enough to hold.

Frequently asked questions

How do I plan my reselling hours around shipping deadlines?
Start from the tightest clock you sell under. OLX's Terms refund the buyer automatically if you don't confirm an order within 72 hours, or don't hand the parcel to the carrier within 3 working days of accepting. Vinted cancels orders not shipped within 5 business days. Confirming daily and shipping at least every second working day covers both. Fix that shipping block before your drop-off point's last collection, then fit buying and listing around it.
What is the best time to check new listings?
No marketplace in our research publishes when listings are added or how quickly underpriced items go, so a universal best time would be a guess. Log every find that matches your buying rules for two weeks, with the hour and weekday, and note which ones vanished before you acted. Put your check slots where the log shows the most finds you could actually buy, and repeat the log when you change category.
Which part of reselling should I automate first?
The largest block in your own time log that happens outside a marketplace account, such as profit and ROI formulas in a spreadsheet, because no marketplace terms apply there. Next come assisted steps where you still confirm, like alerts, listing drafts you publish and checkout that stops before payment, each only where the marketplace's terms allow. Keep messages, bulk relisting and unreviewed buying manual: Vinted's Terms bar mass messages and bulk relisting.
