How to Avoid Double Sales When Crosslisting

Why double sales happen

A double sale needs a second live listing and a buyer who reaches it before you do. Four gaps keep that listing live:

• Detection delay. A tool has to notice the sale before it can delist anything.
• Marketplaces the tool doesn't watch. None of the crosslisters in our research names OLX or Allegro Lokalnie, and Vendoo's sale-detection articles don't name Vinted.
• Sales the tool can't see. Crosslist's docs say it can't detect cancelled sales, and a sale you add by hand doesn't trigger a delist. An OLX buyer who collects the item and pays cash creates no order a tool could find.
• Your own day. A sale at 23:00 goes unseen until you open the app.

Decision rule: count exposure per item. Each extra marketplace an item is live on is one more listing to take down after the sale.

What auto-delist tools say they detect

• Crosslist: auto-delist only on Gold and Diamond (Gold $39.99 a month as displayed on 13 September 2026). eBay, Etsy, Shopify and WooCommerce sales are detected on its servers. Vinted and the other extension-based marketplaces need your browser active "from time to time".
• Flyp: "searches for new sales every 15 minutes". A separate, undated Flyp FAQ says its tools are "only available in the USA".
• Vendoo: "Vendoo does not detect sales on the mobile app". Its US article (9 July 2026) names eBay, Poshmark, Depop, Mercari and Whatnot; the EU copy (30 March 2026) adds Shopify.
• List Perfectly: auto-delist only on Pro Plus ($99+ a month as displayed on 13 September 2026). Its January 2025 guide, possibly out of date, leaves Vinted off the list and says Auto Delist "can't bypass captchas".

Decision rule: your real window is the longest stated delay among your marketplaces, plus any time your computer or browser is off. Crosslist alternatives compares which tools put auto-delist in cheaper plans.

How long each marketplace gives you to act

None of the Vinted, OLX or Allegro Lokalnie pages in our research says how fast a sale notification reaches you. They do document the clock an order starts, which is your time to fix a double sale cleanly.

Decision rule: OLX is the only one of the three where you accept each order first, so check your records before confirming. A Vinted order is already paid when you see it, so delist everywhere else at once. Each platform's duplicate rule and fee trigger are in selling on Vinted, OLX and Allegro Lokalnie at once.

A manual delisting routine that holds up at volume

• Turn on notifications in every marketplace app where an item is live
• On every order: delete the other listings, mark the item sold, then message or ship
• On OLX: confirm an order only after your records show the item unsold
• Before an agreed cash collection, delete the item's other listings
• After adding a sale to a tool by hand, delete the other listings yourself
• Open every app at fixed times, even with no notification

Cancelling an order: platform consequences

Keep the order that came first and cancel the other through its platform.

• OLX: reject the order. Under Terms §11.8 the buyer is refunded automatically if you reject, don't confirm within 72 hours, or you both agree to cancel through OLX messaging.
• Vinted: its help pages (UK, PL) cover only automatic cancellation after 5 business days unshipped. Our research doesn't cover how a seller cancels manually or whether it affects the account, so check the order screen and Vinted Help rather than waiting out the 5 days.
• Allegro Lokalnie: refund through Allegro and the sale fee comes back. If a buyer who paid gets neither item nor refund, Allegro's buyer-protection page says the seller's account may be suspended and the seller may have to repay Allegro.
• Depop, if you sell there: its Terms (effective 2 September 2026) make you fully responsible for a double sale, including refunding the buyer.

• Stop: don't ship, print a label or confirm anything
• Keep the earlier order and delete every remaining listing
• Cancel the other: reject on OLX, refund through Allegro on Allegro Lokalnie, use the order screen or Help on Vinted
• Message the buyer who loses out, in that platform's chat
• Mark the item sold with the marketplace you kept
• Write down the gap: tool delay, unwatched marketplace, hand-added sale or missed check

If the order you kept falls through or comes back as a return, the item is back but its other listings are gone. Crosslist can't detect a cancelled sale, so relist by hand, after OLX's 14-day duplicate period. Do private sellers have to accept returns? covers what you owe that buyer.

Talking to the buyer who loses out

That buyer did nothing wrong. Send one short message in the platform's chat: the item is gone, how the refund reaches them on that platform, and no date the platform doesn't publish. On OLX, agreeing to cancel through OLX messaging is itself a ground for the automatic refund, so keep the exchange there.

Decision rule: apologise once, explain the refund, then stop.

Stock records that prevent the problem

Keep one record per item listing every marketplace it is live on, with a status you change the moment an order arrives. The inventory management guide sets out the fields and status values. Add one daily check:
