Inventory Aging: Sort Stock by Age, Then Act

An aging report turns "a lot of stuff is not selling" into a short list of items that need a decision this week.

Key takeaways
  • Group unsold items into age buckets that match platform display rules: OLX 30 days, Vinted Bump 3 or 7 days, Allegro Lokalnie auction 7 days.
  • Build a simple spreadsheet with buy date, listed date, days listed, bucket and marketplace columns—the formula for days takes seconds to set up.
  • Act per bucket: 0–30 days is normal, 31–60 days needs a price check, 61–90 days needs re-photos or crosslisting, 90+ days needs a liquidation decision.
  • Track money tied up per bucket to see if your capital is stuck in slow-moving stock—a bar chart of buy cost per bucket shows the problem at a glance.

An inventory aging report groups your unsold items by how long each has been listed or sitting in your stock. It shows you exactly how much money is tied up in items that have been sitting for 30, 60 or 90 days—and that data tells you what to do with each group. This page builds the report, explains the buckets, and gives you a weekly routine that keeps slow stock from becoming dead stock.

This guide uses a spreadsheet you can copy and a set of bucket rules that match how long each platform keeps listings visible. Every number below is a worked example.

This page is part of the inventory management guide—your pillar for all operations content.

What inventory aging means: days listed versus days owned

Two dates matter for every item: when you bought it and when you listed it. Days listed counts from the moment the listing went live. Days owned counts from your purchase date. Most resellers track days listed because it directly reflects marketplace visibility—OLX shows listings for 30 days, Vinted Bump runs for 3 or 7 days, and Allegro Lokalnie auctions last 7 days.

Use whichever date matches how you think about your stock. If you source items and list them the same day, both dates are nearly identical. If you hold inventory between purchases and listings, track both and see which tells a more useful story.

Pick your age buckets: an editorial choice

For example, a common bucket structure has four bands:

  • 0–30 days — fresh listings, normal display time
  • 31–60 days — no longer new, needs attention
  • 61–90 days — falling behind, needs action
  • 90+ days — aged stock, needs a decision

These edges are not a market standard. OLX displays listings for 30 days and auto-extends them for another 30 days, so a 30-day bucket aligns with that clock. Vinted Bump runs for 3 or 7 days—your fresh listings get a boost, then they sit in the feed. Allegro Lokalnie auctions run for 7 days.

Pick bucket edges that match how you think about your stock and keep them consistent. The exact numbers are an editorial choice—say so in your report if you share it.

Build the report in a spreadsheet

Create a sheet with these columns:

Column What goes in it
Item Name or SKU
Buy date When you purchased it
Listed date When the listing went live
Days listed Formula: =TODAY() - [Listed date]
Bucket Formula: =IF([Days]<=30, "0-30", IF([Days]<=60, "31-60", IF([Days]<=90, "61-90", "90+")))
Marketplaces Where it's listed (Vinted, OLX, Allegro)
Buy cost What you paid
Current price Your listed price
Price changes How many times you adjusted the price

The bucket formula groups every item automatically. Add a pivot table that sums buy cost per bucket—you'll see at a glance how much money is stuck in each age band.

See listing expiry dates for platform-specific display periods and inventory valuation for how to value stock on hand.

61–90 days500 zł
90+ days700 zł
Illustrative example: for a 60-item inventory, say you have 1,200 zł in the 0–30 bucket, 800 zł in 31–60, 500 zł in 61–90, and 700 zł in 90+. Bucket edges are an editorial choice.Illustrative example, not market data

The bar chart above shows what the pivot table produces. In this example, say you have 700 zł of buy cost sitting in items older than 90 days—that's capital you may want to free up.

Decide what to do per bucket

Each bucket suggests a different action:

  • 0–30 days: Normal. Let the listing run. Monitor for views and favourites.
  • 31–60 days: Check the price against current comparables. If comparable items have dropped in price, match them. If the price is fair, consider better photos or a description refresh.
  • 61–90 days: Re-photograph the item if your original photos feel dated. Crosslist to another platform where fresh buyers might see it. Consider a small price drop—for example, 5–10% often wakes up the algorithm.
  • 90+ days: Decide item-by-item. Price aggressively to liquidate, or remove and relist with fresh photos. If the item has poor sales data everywhere, selling at break-even clears cash for faster-moving stock. See dead stock reselling for liquidation options.
  • Check price against comparables (31–60 days)
  • Re-photograph the item (61–90 days)
  • Crosslist to another platform (61–90 days)
  • Price drop or liquidation decision (90+ days)

Watch money tied up per bucket

The bar figure above sums buy cost per bucket. Do this every week and you'll see trends: if your 90+ bucket keeps growing, you're buying faster than you're selling. If the 31–60 bucket balloons, your pricing is too high compared to the market.

A healthy pattern has most buy cost in the 0–30 bucket and declining amounts in older buckets. If older buckets match or exceed newer ones, adjust your sourcing, pricing or photography.

Weekly routine

Set a 15-minute weekly slot to review the aging report:

  1. Open the pivot table and note totals per bucket
  2. Pull items from 61–90 and 90+ buckets
  3. For each item: check price, re-photograph or crosslist, or decide to liquidate
  4. Update the listed date if you crosslisted to a fresh platform
  5. Move on—you've protected your capital from turning into dead stock

Frequently asked questions

What is an inventory aging report for resellers?
An inventory aging report groups your unsold items by how long each has been listed or in your stock. It shows how much money is tied up in each age band and helps you decide which items need a price drop, better photos, crosslisting to another platform, or liquidation. The report turns gut feeling into data you can act on weekly.
Which age buckets should a reseller use?
Most resellers use four buckets: 0–30 days, 31–60 days, 61–90 days and 90+ days. These align with how long platforms keep listings visible: OLX shows listings for 30 days and auto-extends them, Vinted Bump runs for 3 or 7 days, and Allegro Lokalnie auctions last 7 days. The exact bucket edges are an editorial choice—pick bands that match how you think about your stock and stick to them.
How often should I review aged stock?
Review your aging report once a week, ideally on the same day. Weekly reviews catch price changes on comparable items while you can still act on them. Our rule of thumb: a quick weekly scan of items in the 61–90 and 90+ buckets takes about 15 minutes and prevents good stock from turning into dead stock.
What should I do with items older than 90 days?
Items older than 90 days have typically seen the bulk of interested buyers. Decide item-by-item: check if the price is still competitive, re-photograph it if the original photos look dated, crosslist to another platform where fresh buyers might see it, or accept a lower price to liquidate. If the item has poor sales data across all platforms, selling it at break-even or slightly below clears cash for faster-moving stock.
